Introduction

New Plan Partners is an executive search firm and leadership advisory consultancy.

Your privacy rights are important to us at New Plan Partners. The following Privacy Policy covers what data we collect, how we use, transfer, disclose and store this data. 

Our home is in the Nordics, but our base of clients and candidates have a global reach. Conducting executive searches requires the highest level of confidentiality and privacy protection. Below we describe our privacy policy and data protection.

Which personal data are we processing about you and for what purposes

In our efforts to find the right candidate for our clients we process data from several sources, including but not limited to news media, commercial databases such as Boardex, social media etc. We also collect market data and use our network to identify candidates. Apart from publicly available data, we collect, and process data provided voluntarily by candidates to give an indication of professional skills and match against role including, but not limited to CVs, application letters, references, compensation information etc. We work with candidates to extract psychometrics which are processed by a third party. We do not process or collect sensitive information such as ethnicity, sexual orientation, trade union membership, personal health data etc. and we hereby strongly advise candidates against sharing such information in the documentation they provide us with. 

As an essential part of our company’s business/product we share personal data on candidates with clients, when we feel there is a relevant match between the client and the candidate. We will, however, share this data with a high degree of sensitivity and discretion. We do not share any data outside our field of operation and we only collect, store and process data insofar we have clear legitimate business interest in doing so, as part of our services provided.

As part of executive searches, we carry out market research on behalf of our clients. This entails sharing insights on the relevant candidate population with our clients based on publicly available professional information (e.g. current employer, current or previous titles, educational background) from publicly availably sources including but not limited to media coverage, commercial databases and information from corporate websites. New Plan Partners does not share personal information that is not publicly available with clients without consent from candidates.

In different stages of executive search processes, a candidate may provide us with a variety of information including but not limited to references, psychometric data, contractual information, compensation schemes. As part of the executive search process we may verify your information including educational credentials, professional information and certificates. Upon giving your consent to store and process your personal data, we may combine your data with other publicly available information.

Retention period of your application & data

As an executive search firm, the process of matching candidates and clients is a continuous process. Upon receiving personal data as part of individual search process we ask for your consent to store your data beyond the individual search process for reasons including:

  • Documentation on search processes for purposes such as billing, auditing, statistics or specification on diversity and inclusion data 
  • Assessing the match between your profile and relevant positions on behalf of our clients
  • On-going conversations about positions that potentially match your profile including introducing you to our clients
  • Contacting you for market insight, business partnering, knowledge sharing, networking or similar opportunities

New Plan Partners is highly committed to ensuring that we have your explicit consent to store and process your data. However, if you choose to send us your personal data as a CV unsolicited, we will assume implicit consent to store and process your data. 

Your information will be continuously updated. We recommend that you contact us if the personal information that you have forwarded in your resume and other relevant material changes, so that we can update your information without unnecessary delay. 

Please be aware that New Plan Partners does not use automated decision making nor profiling as part of our work. 

We take vigorous data protection measures to ensure your confidentiality and any information shared electronically is encrypted and / or password protected. We continuously update and delete information in our database and systems.

Consent to send data to clients – only publicly available

As a policy we retain the right to keep psychometric data for 2 years, after which they aren’t considered accurate. Career information is retained for 5 years with regards to possible future job opportunities that match your profile. 

However, at any time you have the right to withdraw your consent, have your information deleted, rectified or restrict processing.
